Does Your Team Bio Still Tell Your Story?

Key Takeaways

  • A team bio is more than a résumé—it’s your digital handshake that helps clients and prospects connect with your people.

  • Outdated bios can send the wrong message; keeping them current shows growth, professionalism, and culture.

  • With AI scraping on the rise, bios must balance personality with privacy to stay both engaging and safe.

  • Refresh bios regularly, use a consistent voice, highlight what matters today, and avoid oversharing personal details.

  • A well-written, up-to-date bio protects your team while showcasing your firm’s authenticity and expertise.

A few years ago, I went into an initial meeting with a prospect and did what I normally do: I skimmed their website and their bio page to find out more about them before we even said, "Hello." I saw a rather young man whose bio spoke a lot about his time on his college football team, which he was obviously proud of, both of which led me to assume that he was probably in his 30s.

When I logged into the meeting...the difference was startling. This was a man well into his 50s. He looked nothing like his headshot, and he had clearly been out of college for some time. In other words, his current bio page didn't represent who he was. And I knew that that could be a turn off to his prospective clients.

Authenticity matters. Especially in this digital world we're living in.

Your team’s bios are more than just filler on your website - they’re your digital handshake. They help prospects, clients, and even potential employees connect with the real people behind your firm. But in today’s world of fast-moving careers and fast-moving technology, keeping those bios accurate (and safe) matters more than ever.

First impressions count. A client might meet your bio before they meet you, and if the details are outdated, they’ll assume the rest of your business might be, too. Roles also evolve, and promotions, certifications, and new community involvement should be reflected in your story. Beyond that, bios aren’t just résumés - they’re mini-stories that show what your team values, enjoys, and contributes, which is often what makes your firm feel approachable and authentic.

Enter AI: The New Layer to Consider

Here’s the twist: with the rise of AI scraping, your bio isn’t just being read by people—it’s also being picked up by algorithms. That means:

  • Consistency matters. Outdated bios create confusion when AI tools summarize your company online.

  • Privacy is key. Sharing every personal detail may not be wise. AI tools can compile and reuse information in ways you didn’t intend.

Think of it this way: your bio is both your story and your public record. It needs to balance warmth and connection with professional safety.

Tips to Keep Your Team Bio Fresh and Safe

The best approach is to keep bios fresh and safe with a thoughtful process.

  • Set a refresh schedule—review bios annually or whenever someone changes roles, earns a credential, or joins a new community project.

  • Highlight what matters now by focusing on achievements, passions, and involvement that reflect who you are today.

  • Trim personal details, since personality doesn’t have to mean oversharing

  • Decide on a consistent voice for the entire team, whether it’s first-person or third-person.

  • Set a refresh schedule for your headshots as well. Every one to three years should keep you on track.

    • Personal note: I knew I needed new headshots after Covid because my hair was longer. That might sound unimportant, but you don't want your first meeting with a prospect to be jarring because you don't look the same in person as you do online.

Also, adding a dash of personality with a fun fact or hobby helps bios feel memorable while staying professional, and sprinkling in natural keywords like your role, certifications, or location can help both people and search engines understand what you bring to the table. Your team bios aren’t “set it and forget it” content—they’re living, breathing reflections of your people. In a world where both clients and AI are reading them, keeping them updated and mindful protects your team while showcasing the best of your firm.

So, does your team bio still tell your story? Put a refresh on your calendar now and get your team on board!
